Plain English summary: Sarah Builds is a studio for better systems. We design and build custom tools, automations, AI-supported workflows, dashboards, internal systems, and related technology for clients who need to reduce manual work or turn a clear idea into a working system.

No black box: Before anything gets built, the project must have a clear scope, clear responsibilities, and a shared definition of done.

01 — What Sarah Builds is

Sarah Builds provides custom system design and build services for business owners, founders, consultants, service providers, and small teams. Services may include strategy, scoping, workflow design, automation, AI-supported systems, internal tools, dashboards, databases, integrations, deployment support, documentation, and walkthroughs.

Sarah Builds is not a legal advisor, financial advisor, investment advisor, tax advisor, brokerage, registered investment adviser, or accounting firm. Nothing on this website or in Sarah Builds deliverables should be treated as legal, financial, tax, or investment advice.

02 — Service offerings

Build Plan — $750: A paid scoping engagement for an idea, bottleneck, or manual process that needs a clear build map before implementation. The Build Plan may include a scoping conversation, written recommendations, proposed tools, timeline estimate, budget estimate, recommended build path, risks, and what should or should not be built yet.

Build Sprint — typically $3,500–$5,000: A focused build for one clear bottleneck with one primary outcome. A Build Sprint may include a small internal tool, automation, report generator, intake workflow, database, dashboard, research workflow, or similar contained system. The final price, scope, timeline, and deliverables must be confirmed in writing before work begins.

Full System Build — from $10,000: A larger custom build for systems with more moving parts, such as multiple workflows, integrations, users, dashboards, databases, AI-supported processes, or client-facing/internal tools. The final price, scope, timeline, payment schedule, and deliverables must be confirmed in writing before work begins.

Sarah Builds may decline any application or project for any reason, including unclear scope, lack of budget, ethical concerns, unrealistic timeline, poor fit, or lack of required client collaboration.

03 — Applications and fit

Submitting an application does not create a client relationship or guarantee acceptance. Applications are used to understand the problem, business context, desired outcome, budget, timeline, and whether Sarah Builds is the right fit.

If a project appears to be a fit, Sarah Builds may recommend a Build Plan, Build Sprint, Full System Build, or another next step. If the project is not a fit, Sarah Builds may decline the project directly.

04 — Scope and definition of done

Before any Build Sprint or Full System Build begins, Sarah Builds and the client must agree in writing on the scope of work. This may include what will be built, what is outside scope, tools involved, client responsibilities, timeline, review milestones, payment terms, and what “done” means.

Work outside the agreed scope may require a separate quote, change order, additional timeline, or additional payment. Sarah Builds is not responsible for delivering work that was not included in the agreed scope.

05 — Client responsibilities

Clients are responsible for providing accurate information, timely feedback, required access, business context, decisions, approvals, and any materials necessary to complete the work. Delays in client responses, approvals, payments, account access, or third-party tools may delay the project timeline.

Clients are responsible for reviewing deliverables, testing them in their own business context, and notifying Sarah Builds of issues within the agreed review period.

06 — Payment terms

Payment terms are confirmed before each engagement begins. Build Plans are typically paid in full before scoping work begins. Build Sprints and Full System Builds may require a deposit, milestone payments, or another written payment schedule.

Unless otherwise agreed in writing, work does not begin until the required initial payment is received. Final deliverables may be withheld until outstanding invoices are paid.

Client is responsible for any third-party software, hosting, automation, AI model, database, domain, payment processor, API, or platform costs required to run the system.

07 — Refunds and cancellations

Because Sarah Builds provides custom strategy, scoping, and implementation work, payments are generally non-refundable once work has begun. Any refund, credit, or cancellation terms must be stated in the written agreement, invoice, or project scope for that engagement.

If Sarah Builds cancels an engagement before completing agreed work, Sarah Builds may provide a reasonable refund or credit for work not yet performed, depending on the circumstances and written agreement.

08 — Ownership and accounts

Whenever practical, Sarah Builds builds systems in accounts the client owns or controls. The client is responsible for maintaining those accounts, subscriptions, passwords, billing, API keys, permissions, and platform access after handoff.

After full payment, the client owns the final custom deliverables created specifically for the client, except for Sarah Builds' pre-existing materials, reusable frameworks, templates, prompts, code snippets, processes, know-how, methods, internal tools, and general systems knowledge.

Sarah Builds may reuse general concepts, methods, structures, and non-confidential know-how learned through client work, provided client confidential information is not disclosed.

09 — Third-party tools and platforms

Sarah Builds may use third-party tools such as hosting platforms, databases, automation tools, AI model providers, form tools, email platforms, payment processors, analytics tools, or other software. Sarah Builds does not control those third-party services and is not responsible for their outages, pricing changes, policy changes, data loss, security incidents, or feature limitations.

Clients are responsible for reviewing and accepting the terms, privacy policies, and costs of any third-party tools used in their system.

10 — AI, automation, and system limitations

AI-supported systems and automations may produce errors, unexpected outputs, incomplete information, downtime, or behavior that requires human review. Sarah Builds does not guarantee that any system will be error-free, uninterrupted, or suitable for every edge case.

Clients are responsible for using reasonable judgment, testing outputs, monitoring important workflows, and ensuring that any system is appropriate for their business, legal, operational, and ethical requirements.

11 — No guaranteed outcomes

Sarah Builds does not guarantee specific business results, revenue increases, time savings, client acquisition, profitability, investment outcomes, operational performance, legal compliance, or financial results. Any examples, case studies, proof stories, or descriptions are for context only and do not guarantee similar results.

12 — Financial, crypto, and investment-related projects

For any financial, crypto, DeFi, investment, or trading-related project, Sarah Builds provides technology, research, analysis, education, workflow, or decision-support implementation only. Sarah Builds does not provide investment advice, manage funds, recommend securities, recommend trades, promise returns, or guarantee outcomes.

Markets are volatile. Trading and investing involve risk, including possible loss. Any financial or crypto-related system must be reviewed by the client and, where appropriate, qualified legal, financial, tax, or compliance professionals before use or publication.

13 — Confidentiality

Sarah Builds will take reasonable steps to protect confidential project information shared by the client. Clients should not share passwords, private keys, seed phrases, regulated personal data, financial account credentials, or highly sensitive information unless specifically required and handled through an agreed secure method.

Sarah Builds may describe work in general terms as a proof story or portfolio example unless the client requests confidentiality in writing or the project agreement states otherwise. Confidential details, private data, and proprietary client information will not be intentionally disclosed.

14 — Acceptable use

Sarah Builds may refuse or terminate work involving unlawful, exploitative, misleading, abusive, discriminatory, deceptive, unsafe, or unethical activity. Sarah Builds does not accept projects designed to exploit users, hide important information, manipulate vulnerable people, make false claims, evade legal obligations, or create dependency through unclear ownership.

15 — Limitation of liability

To the maximum extent allowed by law, Sarah Builds is not liable for indirect, incidental, special, consequential, punitive, or exemplary damages, including lost profits, lost revenue, lost data, business interruption, investment losses, or reputational harm. Sarah Builds' total liability for any claim is limited to the amount paid by the client for the specific service giving rise to the claim.

16 — Changes to these terms

Sarah Builds may update these Terms of Service from time to time. The updated version will be posted on this page with a revised “Last updated” date. Continued use of the website or services after updates means you accept the revised terms.
